In response to the Japanese Government’s declaration of a State of Emergency due to the spread of the Coronavirus (COVID-19) epidemic on April 7, HLS Global Japan has decided to implement certain operational procedures to prevent the further spread of this epidemic, and ensure the safety of our clients and employees. 1) Telework / Work from Home
From April 8, 2020 to May 6, 2020, we will minimize the operations in our Tokyo office. Our staff will continue to support our clients during this period remotely. Our services will continue as usual, however, client visits and any face-to-face meetings are prohibited. Our business will continue using teleconferencing (Skype / Zoom) and e-mails. Certain staff members will have access to telephones as well.
2) Contact information during the telework period
Our reception desk will be closed, and the primary office phone number will not be reachable during this period. Please reach your contact at HLS Global via their e-mail address or mobile phone directly. In case the contact information is not available, please contact +81-80-4320-6204 during business hours (Weekdays between 9:00 AM – 6:00 PM). For any other inquiries, please contact Sales-Support@HLS-Global.jp.
3) Postal mail delivery
Postal deliveries will continue as usual, however our administration staff responsible for mail handling will also be working remotely. Please send any documents electronically by e-mail or contact the relevant person in charge beforehand in case original documents need to be sent or received.
4) Billing & Invoicing
During this period, all invoices to clients will be sent electronically in a PDF format by e-mail. If the hardcopy of the original invoice is required, please contact the relevant person in charge.
